TERMS & CONDITIONS

Business Name: Sudbury MMA & Combat Academy (“SMMACA”, “we”, “our”, “the academy”)
Member: A paying client using our services or facilities.

Lead: An individual making an enquiry, trial booking, drop-in visit, or attending a free/introductory class.

1. Enquiries, Trials & Leads

1.1. By submitting an enquiry or booking a trial class, you agree to us contacting you by email, phone or SMS for follow-up and onboarding purposes.
1.2. Leads and trial users must follow the same conduct, safety and media rules as members while on academy premises or attending academy-run activities.
1.3. A lead becomes a member once a membership is confirmed and the first payment is processed.
1.4. The academy reserves the right to decline a trial or membership if behaviour or suitability raises safeguarding or welfare concerns.

2. Membership & Payments

2.1. Memberships are non-transferable and non-refundable.
2.2. Payments are taken monthly (or as agreed on the chosen membership plan).
2.3. If a payment fails, access to sessions may be paused until resolved.
2.4. Changes to membership type must be requested in writing with 14 days’ notice before the next billing date.

3. Cancellations & Freezes

3.1. Members may cancel with 30 days’ written notice (email accepted).
3.2. Freeze requests for reasons such as injury, illness or extended travel may be granted at the academy’s discretion.
3.3. Membership may be suspended or terminated for repeated non-payment, inappropriate conduct, or safety concerns.

4. Health & Safety

4.1. Combat sports and martial arts carry a risk of injury.
4.2. By training at the academy (as a lead or a member) you confirm you are medically fit to participate.
4.3. You must notify a coach of any existing injury or medical condition before training.
4.4. All participants must follow the instructions of the coaching staff.
4.5. Appropriate protective equipment must be worn for contact training.

5. Conduct & Behaviour

5.1. The academy operates a zero-tolerance policy toward bullying, harassment, intimidation or unsafe conduct.
5.2. All participants must treat coaches, students and the training space with respect.
5.3. Clean training kit and good personal hygiene are required.
5.4. Shoes are not permitted on the mats.

6. Photography & Media

6.1. The academy routinely records photos and video for coaching review and promotional use.
6.2. This includes off-site events where the academy is represented (e.g. fight shows, seminars, interclubs and demonstrations).
6.3. By entering the premises or training with the academy (as a lead or member), you consent to being included in group footage unless you notify us in writing that you wish to opt out.
6.4. Opt-out requests must be made by email and apply going forward.

7. Juniors (Under 18s)

7.1. Juniors are supervised by a SMMACA coach during training.
7.2. Parent/guardian contact details must be provided before a junior participates.
7.3. Communication regarding junior members will normally be through the parent/guardian unless agreed otherwise.

8. Personal Belongings

8.1. All personal property is brought to the academy at your own risk.
8.2. The academy accepts no responsibility for loss, theft or damage.

9. Class Changes & Cancellations

9.1. The academy reserves the right to amend class times, coaches, or training formats when required.
9.2. Classes may occasionally be cancelled due to coach illness, events, holidays, or unexpected circumstances.
9.3. Where possible, reasonable notice will be given through our usual communication channels (e.g. email, social media, or WhatsApp groups).
9.4. Members are encouraged to check the class timetable regularly for updates.

10. Liability Waiver

10.1. By participating in training or attending any activity organised by, or representing, the academy (including seminars, interclubs, competitions, fight shows or public demonstrations), you acknowledge the inherent physical risks involved.
10.2. You agree that the same health, safety and conduct rules apply both inside the academy and at external events where you are participating under the academy’s name or affiliation.
10.3. You accept full responsibility for your own participation and agree to train and compete safely and within your ability.
10.4. You waive any claim against Sudbury MMA & Combat Academy, its coaches or staff arising from injury sustained during training, events, travel to/from events, or any related activity connected with participation under the academy.

11. Acceptance of Terms

By enquiring, booking a trial, purchasing a membership or attending a session, you agree to these Terms & Conditions.
